ARCHITECT PRE-PROPOSAL MEETING
September 29, 1998

NOTE: THESE MINUTES SHALL BE REFERED TO AS ADDENDUM #1 TO THE "REQUEST FOR STATEMENT OF INTEREST AND QUALIFICATIONS" PUBLISHED SEPTEMBER 1998, PEKIN PUBLIC SCHOOLS, AND SHALL BE INCORPORATED THEREIN BY THIS REFERENCE.
Attendance: Guy Cahill, Chuck Bowen, Linda Harris, and representatives from architect firms (see Exhibit 1)
Guy shared information about pekin.net and how to obtain pertinent information on the district website about District 108.
All applicants were asked to put their responses on the forms provided in the document or make a note on the form as to where the response is located.
All RFQs are due on October 6th at 10:30 A.M. Guy encouraged architect’s to contact potential sites for visitation during the period Oct. 12-14; he asked that the architect’s secure one or more sites for each day as the committee will not know which days they will be meeting with any particular architect until the 8th of October.
Guy explained how the money to fund the project was obtained and explained the un-housed students concept.
Legal Notice, should read: The Board of Education…will receive statements of interest and qualification…until 10:30 p.m., 10:30 a.m. …
Scope of Project, page 5, last paragraph, should read: The Architect shall work…with the District’s on-site project manager representative…
Schedule 3, Item #3 page 38 should read: List the name and the education…other personnel listed as "in house" in III.5 IV.5. (This item references Schedule 4, item #5 on page 42.)
The committee composition was discussed as well as the committee's charge and parameters. The same were noted on the Web site.
The time schedule for the architect selection was shared;
-October 6 – bids due
-October 6-8 -at least three architectural firms will be identified and the committee would call to schedule interviews and visitations.
-October 12-14 - committee visitations and interviews
-October 15 - committee recommendation to Board of Education
-October 19 - Board of Education vote on architectural firm for project
The project time schedule is a critical factor, and the project must be kept within that time frame.

No, We have inferred a lot in that I have told you we are a district committed to technology, and we would like the building to be a community center.
Teachers have ideas, but they are not on paper. The staff will be going through an activity on Wednesday, September 30 concerning educational visioning, and we will post results of that meeting.

Yes. For example, say the design would win an award, we want to give you permission to use the design.
No, the construction manager is the architect or a representative from his firm.
There is no asbestos except the 9x9-floor tile; a management plan is on file and should be checked prior to proceeding with any work. As far as underground storage tanks, it is believed to have been removed as part of a 1975 addition to Wilson School. We are attempting to verify.
Yes, the west side of the property is owned by the district but used by the park. There is no decision right now as to building on the west or east side of the property.
Two of our sites are air-conditioned to provide year round instruction, but they are not highly automated, all manual. Technology is integrated into the curriculum. We have received several awards and grants for our technology and innovation.
