Web
Policy with Release Form
The following
K-12 School Districts are using a web policy with a
release form as their major tool for guiding district
web publishing. In most cases, the release form allows
the parents to select which, if any, personal information
is allowed to be published on the web. Most of these
districts also have an Acceptable Use Policy, however,
their AUP's do not address publishing of information
via the web.
Richmond
School District.

Highlights:

Personal information about students or staff
may not be published without a signed release
- Any
photograph of an identifiable person must have
the written consent before it is published.
- Building
principals are responsible for approving school
based web pages and for collecting staff web
release forms.
- Classroom
teachers are responsible for gathering student
web release forms
- Student's
last names are NEVER published.
- Release
form allows parents to select which type of
personal information can be posted and how it
will appear when its posted.

Highlights:
- All
staff and students must have a signed Internet/Intranet
Publishing Agreement signed before any web pages
are posted on the district web server

Highlights:
- Parental

- Web
pages must provide library media specialists
with e-mail or hard copy permissions to file
before the Web pages are actually published.

Highlights:

The release form is titled "Objection
to the use of photos". It covers the use
of students visual likeness, voice, and use
of students name with these materials. If a
parent objects to the use of the student photos
on web, then this form will the allow them to

it will be assumed that the parents waive their
right to object.
- The
release form is only valid for 1 calendar year
and must be renewed after that time.

Highlights:
- Before
any student is allowed to publish any web documents,
they must have an signed AUP and Publicity &
Photo release form.
- To
publish any student personal information on-line,
parental permission is required.
- All
web page subject matter should relate to curriculum
or other school-authorized activities.
- All
web pages are property of the school district
- Web
pages may only publish students first names
(this requires parental permission for even
the first name only)

page ownership rests with building principals.
- Student
names, pictures, and personal e-mail addresses
may only be posted with parental permission
- Use
of "generic" school pictures such
as whole classes and crowds are permitted.

on the district server.

submits either disk or print copy of web pages
to building principal for approval.
- Students/teachers
may produce and create approved web pages with
teacher/principal permission.
- The
webmaster will load all webpages
- Parental
permission is needed before publishing photographs
of students.
- No
names will be given with student pictures.
- No
student portraits or individual student pictures.
- Release
form addresses parental permission for publishing
student work, student photos, and using student
work at conferences, workshops, etc.

Highlights:
- Separate
release forms are required for posting student
work and student pictures.
- Students
first name and initial of last name can be posted
on-line.
- Only
staff and general group e-mail addresses can
be posted on-line.
- Decisions
on publishing student pictures are based on
the supervising teacher's judgement. Teachers
must check to make sure that the student's parents
have not objected to such publication through
the regular Data Privacy restriction process.
