Business Meeting Minutes

September 12, 2002

Board Present: Nicole Webb, president; Joan Hatler, secretary

The meeting began at 7:00 p.m. with introductions.

President’s Report:

Theme: Preserving childhood memories because we would like to make our major purchase this year a digital video camera for the school. We would also like to work toward landscaping the area to the right of the front doors.

Membership Count: As of today, 89 members! Staff present expressed concern that they had not received sign up sheet. This was just confusion and Nicole would see that they got them in their mailboxes. Mrs. Adcock’s class is in the lead at this time for most members.

Popcorn Snack Fridays: every other Friday. Last Friday made $55.60. Asked for volunteers to come in on these Fridays to help pop the corn and pass it out. Next popcorn day is Sept. 20th.

Carnivals: No chairperson yet for the fall festival. Denise Wittmer volunteered her services. Date set for October 26th. Will use the game company that was used for the spring carnival and would mostly need to get parent volunteers. Discussed combining the golf night and spring carnival into one event with golf and food. Would make it closer to the time of the spring carnival so could maybe be outside. Idea seemed well received but will vote at a later meeting.

Santa Secret Shop: Stephanie Dunn is chairperson but unavailable for the meeting. A date will be set later. Nicole explained to new members what the Santa Secret Shop is.

Job Opening: Mr. Erickson asked Nicole to announce an opening for a teacher’s assistant. More information is available on the website.

September 11 event: Nicole reports that the balloon release was a success and thanks all those who helped with the balloons. The students seemed to enjoy it.

May Teacher’s Appreciation: TBA

Meeting dates might change if a better night at the beginning of the week could be found. Input from members was requested.  

Treasurer’s Report:

  • Kristie Ringel was not present so there was no report but Nicole Webb stated the current balance is: $1,835.53. A budget and actual report would be available at a later meeting.

Committee Reports:

  • Fundraising Committee

Fall Fundraiser: Ely Cole, fundraising chairperson, showed the book the children will be selling from. Gave the fundraiser dates of 10/1 thru 10/15 with pickup about 11/20. Asked for volunteers to help when the orders come in to help distribute. Ely thought that there would be no small prizes for each student and we asked for that in cash from the vendor instead. Because we signed up last March, we would also be getting some free books for the classrooms. She would distribute these when they come in probably with the orders.

Kroger certificates—Ely reported that there are some of these left from past years if anyone is interested. They can be purchases for $20 and used like cash but the school makes 3% on them. Don’t know if more will be purchases because she thought they had to be purchased in blocks of $1000.

Other—Ely reported that Burger King no longer does family nights but we are checking into Mc Donald’s. Nicole Webb has not gotten a call back from them. Angie Henderson volunteered to talk to the owners to see if we can get an answer or a date set on a Mc Donald’s night. Joan Hatler asked if anyone had checked about the County Market cards that Jefferson used to do. She had signed the PTA up several years ago to participate in their community fundraising program. Parents are sent home a letter and slip they fill out with their card number. They turn this slip in at the customer service desk and a percentage of their purchases from approx. Sept thru Dec earn money for the PTA. The amount of money depends on how many groups are participating that year and the total purchase percentage for their group. County Market had a set amount and divided it between participants each month based on this. Nicole Webb was going to check with County Market to see if we still had a number or would have to sign up again.

  • Spirit Wear committee: Tiffany Cascia showed a shirt from CDS that she got as a sample. It was a patriotic shirt with children holding hands across the shape of the United States that was colored like the American flag. She wasn’t sure of the other products they offered but looked like maybe sweatshirts and sweatpants. The t-shirt cost $6 so would be cheaper than past years. A vote was held and the design was approved. She would work with the company to set the date. The sale would coincide with delivery in time for Christmas.

Parent Comments: Parents of incoming kindergarteners feel very uninformed as to school procedures. Their questions were answered by parents with children in higher grades. Members were encouraged to volunteer where they could so PTA could continue to give Jefferson students the fun activities they like.

The meeting was adjourned at 8:30 p.m. The next business meeting is currently scheduled for November 7th at the school, 7:00pm but could change if a better day of the week is decided upon.
